Managing Credentials

In this article, you'll find all the information you need to manage all the credentials you issue.

Introduction

Once you enter the Credentials tab, you'll notice a few useful features right off the bat. It's a place to freely browse, view, and manage issued credentials.

Using Filters

Use filters to find the credentials you're interested. Just press on the + Add filters button and select from the options, divided into convenient categories:

  • Group

    • Name - select the name of the Group you issued credentials from.

  • Credential

    • Status - choose a credential status you're interested in.

    • Engagement - filter credentials based on the actions recipients performed.

    • Issue date, Expiration date, Schedule date - choose the desired timeframe from the calendar.

  • Email

    • Status - choose to only include or exclude delivery statuses.

    • Engagement - use it to filter the credentials based on whether the email was opened.

  • Change Request

    • Status - select this filter to see credentials with open or closed change requests.

Once you have chosen your options, just click on Apply filters!

๐Ÿ’ก Tip: Frequently used filters are saved in the "Recently Used" menu on the right, making them easy to find.


Export Credentials

You can freely export your credentials by selecting them and clicking on Export.

After that, choose whether you'd like to download the credentials as CSV or PDF/PNG, and enter the email address you'd like the export to be delivered to.

๐Ÿ’ก Tip: While exporting credentials, you can enter as many email addresses as needed, separated by a comma - just remember that they will have access to the whole file.

  • Exporting credentials as PDF/PNG

If you choose to export credentials as a PDF or PNG, you'll receive a download link for all selected certificates in PDF format or badges in PNG format. That's a useful option if you wish to:

  • Print the credentials yourself.

  • Distribute the credentials manually.

  • Share the documents with a designated contact person.

  • Exporting credentials as CSV file

Suppose you select to export the credentials as CSV. In that case, the downloaded file will include a list of your recipient details, engagement statuses, and direct links to your credentials.

That's a great solution if you want to:

  • Learn more about the ways recipients interacted with your credentials.

  • Distribute the credentials manually or using your CRM or other tools by uploading the details and links.

  • Report the list of recipients you certified for a certain event.


Delete Credentials

If you wish to delete credentials, just select them from the list and press Delete:

โ—๏ธImportant note: After you delete the credential, it will no longer be available to your recipients. This action is irreversible.

You can consider using Expirable credentials instead - when credentials expire, their page will still be visible - the credential will show as expired, but visitors will be able to learn more about you as an issuer!


Resend credentials

There are multiple reasons why you may want to resend the credentials to your recipients:

  • You'd like to remind recipients about unopened credentials to boost engagement.

  • The recipient notified you that they lost or haven't found their credential.

  • You selected the option not to email the credentials while issuing and changed your mind.

  • The delivery email bounced after the first try.

In any case, you can resend the credentials in a few quick clicks! Just select the credentials from the list, and click on Resend email:

๐Ÿ’ก Tip: Credential resending is not counted toward your limit. You can resend credentials as many times as you wish.


View and Edit Credentials

After the credentials are issued, you can still freely view and edit them anytime you want! You can find all the details below:

  • View credentials

To do so, just enter the Credentials tab and find the credential you're interested in on the list. Then, scroll to the right and press on View:

Once you view the credentials, you have an option to see advanced details, as well as edit them. Let's dive into all the functions!

  • Edit credentials in the Information section

The first thing you may notice is the Information section on the left. This is a place where you can see all the data provided for your recipient - name, email, issue and expiration dates, as well as custom attributes.

You can edit the information right there - just change the value in the specific field and press save:

โ—๏ธImportant note: After editing the information, you don't need to resend the credentials. The changes will be automatically applied and visible on the recipient page once you click on Save!

  • Check issuance details in the History section

The second section, History, allows you to see the exact times when your credential was created, published, or expired:

  • Learn more about interactions in the Engagement section

If you want to dive into details about how your recipients interacted with their credentials, just switch to Engagement. You can see what exactly happened and when:

  • Enter Recipient View

To see how the credentials look on the recipient's end or enter the credentials to get the link you can share, you just need to click on Recipient View - the credential will be opened in a new window:

That's exactly what your recipients see while entering the credentials you issue.
