How to Set Up Email Automations

A step-by-step guide to managing and configuring each type of Email Automation.

Written by Caroline Tyrko

👑 Email Automations are available for our Professional and Advanced plan users.

What are Email Automations?

Email Automations send emails to your Recipients automatically at key moments in a credential's life, from the day it's issued to the day it expires.

With Email Automations, you can:

  • Bring back Recipients who haven't opened their credential yet.

  • Encourage sharing on LinkedIn and social media, which puts your brand in front of new audiences.

  • Drive renewals by reminding Recipients before and after a credential expires.

Set them up once, and they run in the background for every credential you issue.

Navigating the Email Automations tab

You can access Email Automations in Workflows → Emails. You'll see all five automations in one list, with the following details and options:

  1. Status: Active or Inactive.

  2. Emails sent: how many emails the automation has sent.

  3. Last triggered: when it last sent an email.

  4. Configure: opens the automation settings.

  5. Show Sent Emails: opens the log of every email the automation sent, with the Recipient, subject, date, and delivery status.

Email types

Every automation has a Trigger (the event that starts it) and an Action (the email that's sent). Fields marked System-defined can't be changed.

1. Credential Delivery

Sends the credential to your Recipient as soon as it's issued.

  • Trigger: Credential issued (System-defined)

  • Email template: Credential Delivery

🛠️ How to configure Credential Delivery

Credential Delivery works differently from the other automations:

  • It cannot be disabled

  • Its timing can't be changed.

In this section, you can only choose which email template is your account's default for credential delivery.

💡 To customize the default Email Template for this type, head to Email Templates, click Create Email Template, and select Credential Delivery.

2. Opening Reminder

Follows up with Recipients who haven't opened their credential yet.

  • Trigger: Credential issued (System-defined)

  • Delay: 1, 3, 7, 14, or 30 days after credential issuance

  • Condition: Credential is not opened (System-defined)

  • Email template: Credential Opening Reminder

🛠️ How to configure the Opening Reminder

  1. Go to Workflows → Emails and click Configure next to Opening Reminder.

  2. Under Delay, choose how many days after issuing the email should be sent.

  3. Under Action, click Preview to check the email.

  4. Turn on the Active toggle.

  5. Click Save Configuration.

💡 To customize the default Email Template for this type, head to Email Templates, click Create Email Template, and select Credential Opening Reminder.

Please note that your account can have only one template of this type.

3. Engagement Reminder

Nudges Recipients who opened their credential but haven't done anything with it yet.

  • Trigger: Credential opened (System-defined)

  • Delay: for example, 1, 3, or 7 days after credential opening

  • Condition: Credential is not shared, added to LinkedIn, or downloaded (System-defined)

  • Email template: Credential Engagement Reminder

🛠️ How to configure the Engagement Reminder

  1. Go to Workflows → Emails and click Configure next to Engagement Reminder.

  2. Under Delay, choose how many days after opening the email should be sent.

  3. Under Action, click Preview to check the email.

  4. Turn on the Active toggle.

  5. Click Save Configuration.

💡 To customize the default Email Template for this type, head to Email Templates, click Create Email Template, and select Credential Engagement Reminder.

Please note that your account can have only one template of this type.

4. Expiration Reminder

Warns Recipients that their credential is about to expire.

  • Trigger: 1, 3, 7, 14, 30, 45, 90, or 180 days before credential expiration

  • Email template: Credential Expiration Reminder

🛠️ How to configure the Expiration Reminder

  1. Go to Workflows → Emails and click Configure next to Expiration Reminder.

  2. Under Trigger, choose how many days before expiration the email should be sent.

  3. Under Action, click Preview to check the email.

  4. Turn on the Active toggle.

  5. Click Save Configuration.

💡 To customize the default Email Template for this type, head to Email Templates, click Create Email Template, and select Credential Expiration Reminder.

Please note that your account can have only one template of this type.

5. Expiration Alert

Lets recipients know their credential has expired.

  • Trigger: Credential expired (System-defined)

  • Delay: on the day of credential expiration, or 3, 7, or 14 days after

  • Email template: Credential Expired

🛠️ How to configure the Expiration Alert

  1. Go to Workflows → Emails and click Configure next to Expiration Alert.

  2. Under Delay, choose when the email should be sent.

  3. Under Action, click Preview to check the email.

  4. Turn on the Active toggle.

  5. Click Save Configuration.

💡 To customize the default Email Template for this type, head to Email Templates tab, click Create Email Template, and select Credential Expired.

Please note that your account can have only one template of this type.

⚠️ Note: The Expiration Reminder and Expiration Alert only send for credentials that have an expiration date. Learn how to set one in How to Create and Manage Credential Templates.

Adjusting Email Automations per Credential Template

Some programs need their own timing or messaging. You can override the workspace defaults for any single Credential Template.

  1. Go to Credentials → Credential Templates and open the template.

  2. Open the Email Settings tab, and scroll down to Email Automations.

  3. Find the automation you want to change and turn off Use workspace default settings.

  4. Set the Status, Delay, or Trigger, and email template for this Credential Template only.

  5. Click Save.

The automation is now marked Customized for this Credential Template. All other templates keep using the workspace defaults.

💡 To undo your changes, click Reset to Workspace Default Settings. To change the defaults for all templates, click Edit Workspace Default Settings.
