How are Certifier roles structured?
In Certifier, user roles follow a hierarchy. Each higher-level role includes all the permissions of the roles below it – so as responsibilities increase, so does access.
This makes it easy to assign the right level of control depending on what someone needs to do – whether they’re just handling design tasks or managing your whole workspace.
Detailed Description of Certifier Roles

By default, the invited team members can be assigned one of the 4 available roles: Designer, Draft Credential Manager, Credential Manager & Workspace Admin.
1. Designer
Permissions: The Designer role is tailored for handling all design-related tasks within Certifier, providing access to essential tabs and actions:
Creating, updating, and deleting designs for certificates and badges.
Creating, updating, and deleting email templates.
Setting up the Issuer’s section, which is part of the Premium Branding add-on.
Designers do not have access to the Credentials, and Groups tabs and to administratively sensitive settings such as Email Sender Details, Custom Domain, Team, Subscription, and Access Tokens.
2. Draft Credential Manager
Permissions: This role should be assigned to the individuals responsible for setting up credentials before the actual issuance, ensuring that all details are accurate and ready for the final publishing stage. This role includes all the Designer’s permissions and expands to:
Setting up the Custom Sender Details section.
Creating, viewing, updating, and deleting groups.
Creating, viewing, updating, and deleting draft credentials only.
Draft credential managers do not have access to administratively sensitive settings such as Email Sender Details, Custom Domain, Team, Subscription, and Access Tokens.
3. Credential Manager
Permissions: The Credential Manager role should be assigned to the individuals who are responsible for the full spectrum of the credentialing process, from initial setup to the crucial step of publishing. This role includes all the functionalities of a Credential Draft Manager, with additional key permissions that enable the actual issuance of credentials. These expanded capabilities include:
Publishing credentials, transitioning them from draft to live status.
Viewing and exporting analytics.
Comprehensive management tools for issued credentials, including resending, updating, deleting, and exporting them.
Credential managers do not have access to administratively sensitive settings such as Email Sender Details, Custom Domain, Team, Subscription, and Access Tokens.
4. Workspace Admin
Permissions: The Workspace Admin role is suitable for individuals who manage not only the credentialing process but also the broader administrative aspects of the platform. This role encompasses all the functionalities of a Credential Manager, with additional permissions that align closely with those of the account owner. Key capabilities of the Workspace Admin role include:
Setting up the Custom Sender Details section.
Creating, updating, and managing the Subscription (including the ability to cancel).
Configuring a Custom Domain.
Generating Access Tokens.
Inviting and managing Team Members.
Workspace Admins cannot delete the organization’s account.
Creating and Managing Custom Roles
If you need a role tailored for your users, you can create it. To do so:
Log in to your Certifier account as an Account Owner or Workspace Admin.
Go to Settings → Workspace → Roles (direct link here).
Press on Create Custom Role (1) if you want to choose the permissions from scratch, or Copy icon (2) of any existing role to use it as a base to be modified.
Fill in the details about the role in the Name and Issuer Description fields.
Adjust the permissions across all the sections.
When you're ready, press the Create Role button.
And that's it! You can now assign this custom role to your Team Members.

Which plan offers the possibility to assign user roles?
The ability to assign or change user roles is available to customers with a Advanced plan subscription.
Who can invite the team members and assign the roles?
The Workspace Admins and Account Owners (or custom roles who have the necessary permissions) can invite team members and assign roles.
In case of multiple workspaces, will my invited team members see those other workspaces and be able to enter them?
Only the Account Owner will be able to switch between multiple workspaces. Other invited team members will only be able to see the workspace they are invited into.
How do I know which role to assign to my team members?
The choice of role depends on the specific tasks and responsibilities you want to assign to your team members. Consider the permissions and access levels of each role, as outlined in this guide, to determine the most appropriate role for each team member. If our standard roles don't suit your needs, feel free to create a custom one.
Can roles be changed after they are assigned?
Yes, role assignment can be adjusted as needed. If a team member's responsibilities change or if you need to reorganize your team's workflow, you can update their role to better align with their new tasks. For custom roles, you can also edit the permissions.
Can I assign multiple roles to one user?
No, each user can be assigned only one role at a time. However, each role encompasses the permissions of the preceding one, ensuring a comprehensive set of capabilities suitable for various tasks.
Are there any restrictions on the number of users I can assign to a particular role?
There are no inherent restrictions on the number of users you can assign to each role. However, it's important to manage roles judiciously to maintain an organized and secure credentialing process.
